At AsTools, we handle your personal data with care. In this privacy policy, you'll find out which data we collect through our webshop (astools.nl and our international stores), why we do so, how long we keep it, and what rights you have. What data we use and why
Your account
For certain parts of the webshop, you can create an account. For this, we use your name, address, phone number, billing address, email address, and customer type (personal or business). This way, you don't have to enter these details again with each order. We keep this data until you close your account. You can update your account information at any time.
Orders
When you place an order, we use your name, address, phone number, billing address, email address, and payment details to process it. This is necessary for the purchase agreement we make with you. We share your delivery information with our carrier (such as UPS) and receive payment information from your bank or payment provider. We keep order data for up to two years after your order is completed; invoices are kept longer due to the legal tax retention requirement of seven years.
Customer service and contact
If you ask a question via the contact form, email, phone, or WhatsApp, we use your name, contact details, and your question to help you. We keep this data for up to six months after your question has been resolved, so we can quickly answer follow-up questions.
Newsletter
If you sign up for the newsletter, we use your email address to inform you about products and offers. You can unsubscribe at any time via the link at the bottom of each newsletter. After unsubscribing, we remove your email address from the mailing list within three months.
Chatbot Obi
On our website, you can chat with Obi, our digital product advisor. Obi uses artificial intelligence (Claude by Anthropic) and runs on Cloudflare servers within EU data protection rules. Your chats are not used to train AI models.
What we store.To improve Obi, we keep chat conversations for a maximum of 12 months in anonymized form. Email addresses, phone numbers, and order numbers are automatically removed from the text before the conversation is saved. Tip: don't share sensitive personal data in the chat that isn't necessary for your question.
Thumbs up or down.If you give feedback on an answer, we only save your rating and a random session number. No name or email address is included.
Transferring to a team member.If you ask in the chat to speak with a team member, we ask for your name and email address. We use this information only to answer your question and keep it for a maximum of 90 days.
Looking up orders.If you ask Obi about your order, invoice, or return, we verify your order number together with your email address in our order system (Shopify). This verification is not stored in the chat logs.
Chat and purchase.If you click through from the chat to a product and place an order, we link the chat session number to that order. This way, we can see if Obi is helping customers well. The session number is random and doesn't reveal who you are.
Protection against misuse.We use Cloudflare Turnstile to prevent automated misuse of the chat. Turnstile works invisibly, shows no puzzles, and doesn't track you for ads. You can find more information in the Cloudflare Turnstile Privacy Addendum and the Cloudflare privacy policy.
Who we share data with
We never sell your data. We only share what's necessary with parties that help us run the webshop, and we make agreements about this that comply with GDPR:
- Shopify, the platform our webshop runs on (orders, accounts, payments);
- Carriers (such as UPS), for delivering your order;
- Payment providers and banks, for processing your payment;
- Cloudflare and Anthropic, for the operation of chatbot Obi (see above);
- Google, for website statistics (see Cookies and statistics).
Beyond that, we only share your personal data with other companies or organizations if required by law, such as in response to a police request.
Cookies and analytics
Our online store uses cookies to remember settings and recognize returning visitors. On your first visit, we ask for permission to use cookies that aren't strictly necessary. You can disable cookies in your browser, but some parts of the store may not work as well.
For analytics, we use Google Analytics. We have a data processing agreement in place with Google. The ads on our store are general and don't use your personal data.
Security
We take appropriate technical and organizational measures to protect your data, including encrypted connections (https), access controls, and limiting who can access which information. We continuously review our security practices.
Your rights
Under GDPR, you have the following rights:
- receive an explanation of what personal data we hold about you and how we use it;
- access the exact data we have about you;
- have errors corrected;
- have outdated or unnecessary data deleted;
- have your data transferred to another party;
- withdraw your consent;
- object to certain uses of your data.
To exercise these rights, please contact us using the details below and clearly identify yourself so we can be sure we're updating or deleting the correct person's information. We'll respond within one month.
If you're not satisfied with how we handle your data, you have the right to file a complaint with the Dutch Data Protection Authority.
Changes to this privacy policy
We may update this privacy policy, for example if our store or the law changes. Please check this page regularly. For significant changes, we'll do our best to announce them separately.
